Station Administrator

Station Administrator  Job Description

Primary Responsibilities:

  • Fulfill the administrative duties of the fire District as defined herein

Responsible To:

  • The Board of Fire Commissioners and directly to the Commissioner in charge of personnel

Working Hours:

  • Sixteen (16) hours per week
  • Work days are Monday through Friday
  • Hours of operation 0700 to 1900 hours
  • Employee to notify Commissioner in charge of personnel when not able to work due to illness
  • Employee to notify Commissioner in charge of personnel two weeks in advance when they will not be to work due to vacation or other.

General Statement of Duties:

  • Coordinate purchases of supplies, materials, parts or labor required for any maintenance or repairs following approved procedures and receive same when delivered
  • Maintain vendor and contractor contracts required for the maintenance and repair activities
  • Distribute mail without opening correspondence. Mail without addresses identified is to be placed in Commissioner Chair mailbox
  • Notify appropriate person)s) and/or Commissioner(s) via email and telephone prior to any mechanics, service personnel, skilled trades people and others needed to make repairs, maintain apparatus, equipment, buildings and grounds
  • Coordinate all vendor/contractor maintenance/repair activities to occur within normal working hours
  • Perform any related duties as assigned

 

Representative Maintenance and Repair Duties:

 

Grounds and Buildings:

  • Make or place orders for maintenance and/or repairs of any of the facilities and related equipment in coordination the Station Keeper

 

Apparatus and Equipment:

  • Maintain a spreadsheet of weekly repairs and submit as requested

 

Administrative Duties:

  • Maintain a computer inventory of tools and equipment used for maintenance and repair
  • Maintain a computer inventory of all firematic equipment by location on each rig/vehicle as well as contained in the buildings
  • Maintain an up-to-date computer record of all repair and maintenance activities
  • Maintain a log of daily activities and provide weekly reports of same
  • In addition to the normal list of daily activities concentrate on the Commissioners action item list of tasks to be performed
  • Establish and maintain a filling system for vendor and contractor contracts required for maintenance, purchase of capital equipment and repair activities
  • Authorize, with approval, and expedite delivery of all supplies, materials and parts involved with maintenance and repair of general operation of fire District property
  • Purchase, with approval, and expedite delivery of all supplies, materials and parts involved with maintenance and repair or general operation of fire District property
  • Receive and inspect, accept or reject deliveries and services related to maintenance and repair
